LeapScholar ChatGPT App — Privacy Policy

This Privacy Policy applies exclusively to the LeapScholar ChatGPT App (“Study Abroad Advisor”), a read-only university search tool that operates inside ChatGPT via the OpenAI GPT Apps platform. This policy describes what data the app collects, how it is used, what data is returned, and how it is stored and protected.

1. About the ChatGPT App

The LeapScholar ChatGPT App is a read-only university search tool that allows users to search for universities and courses abroad by providing search filters such as country, program discipline, intake period, and degree level. The app queries LeapScholar’s internal university database and returns matching course results displayed as interactive cards within the ChatGPT interface.

Key characteristics of the app:

• Read-only: The app only retrieves data. It does not create, modify, or delete any data in LeapScholar’s systems.
• Closed-world: The app queries only LeapScholar’s internal university database. It does not access the open internet, browse websites, or scrape external data sources.
• Non-destructive: The app does not perform any write, delete, update, or irreversible actions.
• No authentication required: The app does not require user login or registration.
• No user accounts: The app does not create user accounts, store user profiles, or collect any personal identifiers.

2. Data We Collect

The ChatGPT App collects only the minimal data necessary to perform a university search query. The following table lists every data category collected through the app’s search tool (search_courses):

Important: The ChatGPT App does NOT collect any personally identifiable information (PII). No names, email addresses, phone numbers, IP addresses, device identifiers, location data, or account credentials are collected or stored through the ChatGPT App.

3. How We Use This Data

• Query inputs are used solely to filter LeapScholar’s internal university database and return matching course results within ChatGPT.
• Query inputs are NOT used for marketing, advertising, profiling, user tracking, or any purpose other than serving the immediate search request.
• No user profiles are created from ChatGPT App interactions.
• No data collected through the ChatGPT App is combined with data from the LeapScholar website, mobile app, or any other LeapScholar product.

4. Data We Return

The ChatGPT App returns the following data fields in response to a search query. All returned data originates from LeapScholar’s internal, curated university database and pertains exclusively to universities and courses — not to users.

No user-related data is included in the tool response. The response contains only university and course information. No session IDs, request IDs, trace IDs, timestamps, user identifiers, or diagnostic/telemetry data are included in the response payload.

5. Data Sharing

• Query inputs are processed server-side by LeapScholar’s backend systems and are NOT shared with any third parties.
• Returned university data originates from LeapScholar’s internal, curated database.
• No data collected through the ChatGPT App is sold, rented, or shared with advertisers, data brokers, or any other third parties.
• The ChatGPT App transmits data between the user’s ChatGPT session and LeapScholar’s MCP server endpoint. OpenAI processes the conversation as part of the ChatGPT platform; please refer to OpenAI’s Privacy Policy for their data handling practices.

6. Data Retention

• Query inputs (country, program, intake, degree level, duration, pagination parameters) may be logged on LeapScholar’s servers for a maximum of 30 days for the sole purposes of service reliability monitoring, debugging, and performance optimisation.
• After 30 days, server logs containing query inputs are automatically deleted.
• No persistent user profiles, accounts, or long-term records are created from ChatGPT App interactions.
• Aggregated, anonymised usage statistics (e.g., total number of queries, most searched countries) may be retained for product improvement purposes. These statistics contain no personally identifiable information.

7. User Rights and Controls

• Since the ChatGPT App does not collect personal identifiers or create user accounts, there is no account to delete or personal data record to access.
• Users may request deletion of any logged query data by contacting contact@leapscholar.com. Deletion requests will be processed within 15 business days.
• Users may disconnect the LeapScholar ChatGPT App at any time from their ChatGPT settings. Disconnecting immediately revokes the app’s ability to receive any further data.

8. Security

All data transmitted between ChatGPT and LeapScholar’s MCP server is encrypted in transit using HTTPS/TLS. LeapScholar implements commercially reasonable technical and organisational measures to protect data from unauthorised access, disclosure, alteration, or destruction.

9. Children’s Privacy

The LeapScholar ChatGPT App is intended for users aged 13 and above, consistent with ChatGPT’s own age requirements. We do not knowingly collect information from children under 13. If we become aware that a child under 13 has provided information through the app, we will take steps to delete it promptly.
